Holiday Giving

Holiday Giving partner agreement.

The terms a school or organization accepts when it registers to help its families take part in ELDF Holiday Giving.

Version 2026-10-11 · Effective October 11, 2026

This Holiday Giving Partner Agreement (the “Agreement”) is between Elevation Learning and Development Foundation (“ELDF,” “we,” or “the Foundation”), an Ohio nonprofit recognized by the Internal Revenue Service as a 501(c)(3) public charity, and the school, childcare provider, community organization or company (the “Partner”) named in a registration submitted through MyELDF. The person who submits the registration accepts this Agreement on the Partner’s behalf. It applies together with the ELDF Privacy Policy and Terms of Use.

At a glance

  • The person registering must be 18 or older and authorized to act for the Partner.
  • Family information is used only to help families take part in Holiday Giving, and is kept confidential.
  • Only ELDF-approved team members, each with their own MyELDF account, may use the Partner’s workspace.
  • The Partner removes access promptly when someone leaves or no longer needs it, and tells ELDF right away about any misuse.
  • The Partner lists only families who agreed in writing, and keeps each signed form for at least one year after pickup day.
  • ELDF decides eligibility and may limit or end access at any time.

1. Authority to register

The person submitting a registration confirms that they are 18 years of age or older; that they are an employee or authorized volunteer of the Partner; that they have the authority to register the Partner for Holiday Giving and to accept this Agreement on its behalf; and that the information provided is true and complete to the best of their knowledge. ELDF may verify any of this information and may decline or end a registration that cannot be verified.

2. Approval and coordinator

Each Partner is reviewed and approved by ELDF before it receives access. Approval applies to one Holiday Giving season and ends when that season’s access period ends. The person who registers becomes the Partner’s coordinator and is responsible for the Partner’s team and its use of the workspace.

3. Team members

  • The coordinator may add team members only if each person is 18 years of age or older, is an employee or authorized volunteer of the Partner known to the coordinator in that role, and needs access to help families take part in Holiday Giving.
  • Each team member must use their own MyELDF account. Accounts, passwords and sign-in codes may not be shared.
  • Each team member receives only the role they need (for example, family entry, roster viewing or helping at one pickup event).
  • A team may have up to five people, including the coordinator, unless ELDF approves more. ELDF may review any team member and may approve, decline or end their access.
  • The coordinator must remove a team member’s access as soon as the person leaves the Partner or no longer needs it.

4. Family information and privacy

Through Holiday Giving the Partner may see or enter information about families and children, such as names, ages, contact details and pickup status (“Family Information”). The Partner agrees to:

  • use Family Information only to help families apply for and take part in Holiday Giving;
  • keep Family Information confidential and secure, and never sell, publish or share it with anyone who is not an approved team member, except as required by law;
  • enter or submit information about a family only with that family’s knowledge, and only information that is accurate to the best of the Partner’s knowledge;
  • list or submit a family only after its parent or guardian has agreed in writing, on the ELDF permission slip, ELDF’s online form or the Partner’s own form with the same content;
  • keep each signed form or online answer, each list it submits and any removal request for at least one year after the season’s pickup day, or longer if the Partner’s own policies require, and show a family’s form to ELDF on request;
  • tell ELDF promptly when a family asks to be removed from the Partner’s list;
  • not use a child’s eligibility for free or reduced-price school meals to choose or contact families without the parent’s or guardian’s written consent;
  • not download, copy or keep Family Information outside MyELDF except as needed for Holiday Giving, and to securely delete such copies when the season ends;
  • tell ELDF promptly, and no later than 24 hours after learning of it, about any lost device, shared account, unauthorized access or other misuse of Family Information; and
  • follow the ELDF Privacy Policy and any reasonable instructions ELDF provides to protect families.

A family’s information appears on the Partner’s list only when the family has agreed to share it with the Partner or when the Partner submitted it for the family. Families may withdraw sharing at any time.

5. Family code

An approved Partner receives a family code. The Partner may share the code with its own families so that their Holiday Giving applications are linked to the Partner. The Partner may not post the code publicly or share it with people who are not its families.

6. Pickup sites

If ELDF approves the Partner as a pickup site, the Partner’s approved pickup helpers will check each adult against the family’s pickup pass and identification, hand out only the items prepared for that family and follow ELDF’s pickup instructions.

7. No fees and no endorsement

Holiday Giving is free to families. The Partner may not charge families, require anything in return or use Holiday Giving to promote other products, services or causes. The Partner may not use ELDF’s name, logo or the names of ELDF’s sponsors without ELDF’s written permission.

8. ELDF’s decisions

ELDF decides which families are eligible and what each family receives. ELDF may change, suspend or end the Partner’s participation or any team member’s access at any time, including to protect families or if this Agreement is not followed.

9. Changes and end of the Agreement

ELDF may update this Agreement for a future season. A new version applies only after the Partner accepts it. Either party may end this Agreement at any time by notice. The Partner’s obligations to protect Family Information continue after the Agreement ends.
